The proposal in numbers

One evening.
A clear starting point.

Proposed event · 120 guests. Ticket prices and room counts below are for discussion; hotel capacity and delivery need agreement.

Ticket sales before sponsorship
ExperienceGuestsTicketTicket sales
Sun Room25$200$5,000
The Eddy45$100$4,500
Upstairs Social50$50$2,500
Total120—$12,000
Total ticket sales if all 120 tickets sell$12,000
Hotel buyout · scope to confirm− $10,000
Remaining before any extra costs$2,000

The $2,000 is not profit. With an $800 DJ allowance, $1,200 remains before all other uncovered costs and GoodTimes compensation. Profit cannot be determined until those terms are agreed.

The central decision for today

What does $10,000 include?

Hotel buyout: $10,000. Staffing is reported as included; the exact scope still needs written confirmation. The DJ is separate.

Spaces & hours

Which rooms, arrival areas and setup/strike hours does the buyout cover? Confirm the proposed 120 guests and table layouts.

Food

Confirm passed hors d’oeuvres for seated guests, the Sun Room food cart, Social appetizers, dessert scope, quantities and dietary needs.

Cocktails & Champagne

Confirm the cocktail selection, Champagne product and bottle size, one bottle per two Sun Room guests choosing it, and how an odd-numbered party is handled.

Staffing

Staffing is reported as included. Confirm roles, headcount, hours, service, check-in, seating, security and overtime.

Taxes & additional charges

Are tax, service charge and gratuity included? What costs extra, and which food/drink spending counts toward the $10,000?

Commercial agreement

Confirm who collects ticket and bar receipts, who pays the buyout, GoodTimes compensation, deposits, settlement and cancellation terms.

Count the buyout once. Add only costs outside its agreed coverage; do not charge included food, drinks or staff a second time. Confirm whether this is a fixed buyout or a minimum satisfied by eligible spending.

The welcome, the atmosphere, the details

Make the arrival
part of the evening.

A yellow-carpet arrival, sponsor backdrop and personal welcome are ideas to discuss. These additions are not booked or confirmed guest promises.

DJ & music

$800 allowance; confirm hours, equipment and any extra charges.

$500–$800 estimate

Sponsor step-and-repeat

At the bottom of the stairs on arrival. Confirm branding, dimensions, production, stand, setup and removal.

TBD

Arrival photographer

Photograph guests at the backdrop; agree coverage hours, image delivery and usage.

TBD

Additional seating host

Help welcome and seat guests. Check whether hotel staffing already covers this role.

TBD

Santa visit

A visit with guests; confirm duration, availability, travel and fee.

TBD

VIP ropes & stanchions

Confirm hotel availability or rental, quantity, delivery, setup and removal.

TBD

Yellow carpet

Damon may already have it. Check availability, size, condition, delivery and setup before pricing a rental.

TBD

Other costs to reconcile

Hotel delivery

Only food, drinks, dessert and service costs that fall outside the agreed buyout.

Production & guest care

Sound/lighting, setup, strike, cleaning, security, decor and rentals not already covered.

Branding & promotion

Sponsor signs, backdrop, printing, photography, creative and advertising. Count each delivery cost once.

Sales & administration

Ticketing/payment fees, insurance or permits, GoodTimes fee or share, overhead and contingency.

TBD means a price or inclusion still needs confirmation, not a zero-dollar cost. Check existing hotel services and shared production costs before adding another charge.

Bring a brand into the celebration

Each sponsorship price includes the admissions listed. Sponsor guests use the existing 120 places. These offers are being discussed separately; a combined offer has not been agreed.

Target · two sponsors

Premier Sponsor

$3,200 total per sponsor
  • One Sun Room table for four · $800 ticket face value
  • One Eddy table for four · $400 ticket face value
  • Four Upstairs Social admissions · $200 ticket face value

12 guests per sponsor
$1,400 admissions + $1,800 branding = $3,200

With two Premier Sponsors

Eight Sun Room, eight Eddy and eight Social places are included in the sponsor packages.

Remaining paid tickets: 17 Sun Room · 37 Eddy · 42 Social.

$9,200 ticket sales + $6,400 sponsorship$15,600 before expenses

One package

Social Room Sponsor

$2,500 total for the package
  • 25 Upstairs Social admissions
  • These use 25 of the existing 50 Social places
  • Ticket face value · 25 × $50 = $1,250

25 guests included
$1,250 admissions + $1,250 branding = $2,500

With one Social Room Sponsor

Sun Room and Eddy ticket availability stays at 25 and 45 places; 25 Social tickets remain for sale.

Remaining paid tickets: 25 Sun Room · 45 Eddy · 25 Social.

$10,750 ticket sales + $2,500 sponsorship$13,250 before expenses

Branding included in either offer

  • Name and branding on the sponsor step-and-repeat
  • A sign at the entrance of each room
  • Social-media branding
  • Brand placement on the event webpage

Venue permissions, final placements, artwork and social-media scope need agreement. Production and delivery costs are still pending. The branding component is part of the package price, not profit.

Totals assume both target Premier packages, or the single Social Room package, and every remaining ticket sell. Included admissions are counted within sponsor income, never added again as ticket sales. Table arrangements and room capacities require hotel confirmation.
